Administrative Assistant in Inspection and Control Office


Location: Warszawa

Key responsibilities of the position:

1. To carry out directed analysis of workflows, internal rules, guidelines, and business processes to ensure continuous improvement related to contract and/or project management.

2. To carry out research, compile data to support the drafting of reports for internal and external stakeholders.

3. To maintain the relevant files and registers up-to-date and guaranteeing the archiving of files.

4. To provide overall clerical support and administrative assistance for Inspection and Control Office.

Specifics for Contract management

5. To monitor the implementation of contracts and oversee its related performance indicators as defined in the ToR.

6. To log procurements including signature, receptions, payments, and balances.

Specifics for Project management

7. To monitor the implementation of projects at different stages of the project life cycle.

8. To support the development of the project management capacity and the drafting of internal business processes.


Requirements:
  • Experience developing monitoring tools based e.g. on power BI.
  • Experience designing and maintaining databases e.g. SQL or with SharePoint.
  • Creative thinking.
  • Ability to work under pressure.
  • Asset: certification in project management e.g. ITIL.
  • Very good command of both written and spoken English (at least B2)
